Position Summary
This position will provide critical administrative support to all programs in the Sunset Park location and beyond.  In addition to answering the phone and greeting guests to the office, the Program Associate will support data entry; outreach to potential program participants; and facilitation of enrollment paperwork for various agency programs.

Essential Job Functions and Responsibilities
  • Answer all phone calls into the center, answer all questions possible, and route calls as requested.  Take clear and thorough messages when necessary.
  • Coordinate food orders for all youth programs.  Complete other centralized tasks as assigned.
  • Greet everyone who accesses the center, ensure their questions are answered and they are connected to the right program and staff.
  • Complete phone outreach and other related activities for program recruitment.
  • Assist individuals interested in adult employment with preliminary program paperwork and schedule them for appointments based on the availability of Adult Employment staff on site.
  • Complete data entry into the agency’s Salesforce system when appropriate and complete other data entry tasks as assigned.
  • Oversee office/cleaning/program supply inventory, usage, and replenishment

Knowledge, Skills, and Abilities
  • Ability to complete assigned tasks and projects in a timely and efficient manner.
  • Ability to answer telephone and greet visitors in a courteous and professional manner.
  • Demonstration of a working knowledge of all OBT programs and the ability to communicate this information effectively to the public.
  • Ability to be a team player.
  • Bi-lingual English/Spanish preferred.
  • Proficiency in Microsoft Office Suite (MS Word, Excel, PowerPoint, Access) and SharePoint required.
  • Ability to maintain a high degree of discretion when dealing with confidential information a must.
  • Must possess excellent customer service and task management skills.
  • Must be organized, detail-oriented and able to work in a fast-paced environment.
Education and Experience/Training
  • High School Diploma or HSE required; bachelor’s degree preferred
  • Two years recruitment and administrative experience or training preferred
