Operations Manager
Position Overview: We seek a dynamic and experienced Operations Manager to oversee our organization's daily administrative, facility, procurement, and logistical functions. The Operations Manager will play a critical role in ensuring the smooth operation of our programs and services, optimizing efficiency, and maintaining high standards of quality and compliance.
Key Responsibilities
Administrative Management:
- Manage and supervise administrative staff, including receptionists and office assistants.
- Develop and implement administrative policies, procedures, and systems to streamline operations and enhance productivity.
- Oversee office operations, including facilities management, procurement, and vendor relations.
- Maintain inventories for all sites.
- Ensure compliance with organizational policies, regulatory requirements, and best practices.
Facilities Management:
- Oversee the maintenance and upkeep of facilities at all four OBT locations.
- Develop and implement facilities management plans and schedules to ensure a safe, clean, and functional environment for staff, participants, and visitors.
- Coordinate repairs, renovations, and upgrades as needed, working with external contractors and vendors to ensure timely and cost-effective completion.
- Conduct regular inspections of facilities to identify maintenance issues, safety hazards, and compliance concerns, taking corrective action as necessary.
- Manage facility-related budgets, expenses, and contracts, tracking costs and expenses to ensure adherence to budgetary guidelines.
- Develop emergency preparedness and response plans for facilities, ensuring compliance with health and safety regulations and organizational policies.
Program Support:
- Collaborate with program managers to support the implementation of program initiatives and activities.
- Coordinate logistics for events, workshops, and training sessions, including scheduling, venue selection, and resource allocation.
- Process weekly stipends for participants in collaboration with program directors.
- Technology and Systems Management:
- Oversee the selection, implementation, and maintenance of technology systems and software applications to support organizational operations.
- Provide training and support to staff on the use of technology tools and platforms.
- Ensure data integrity and security through the implementation of data management protocols and practices.
- Identify opportunities for process automation and efficiency improvements through technology solutions.
- Work as liaison between staff and IT contractor.
- Foster a positive and inclusive work environment that promotes collaboration, innovation, and continuous improvement.
- Provide leadership, guidance, and mentorship to staff, promoting professional growth and development.
- Encourage teamwork, communication, and knowledge sharing across departments and functional areas.
Qualifications:
- Bachelor's degree in business administration, operations management, or a related field or 5 years of relative experience.
- Minimum of 5 years of experience in operations management, preferably in a nonprofit or social services organization.
- Proven track record of success in overseeing administrative functions, program support, technology systems, and financial management.
- Strong leadership and management skills, with the ability to inspire and motivate teams to achieve goals and objectives.
- Excellent communication, interpersonal, and problem-solving abilities.
- Demonstrated commitment to diversity, equity, and inclusion principles.
- Proficiency in Microsoft Office Suite and experience with database management systems and other technology tools.
- Knowledge of nonprofit regulations, compliance requirements, and best practices is highly desirable.
